# How do I work with another office on Ergothiki?

> What happens when you assign a work item to a partner who has an office of their own on Ergothiki — and when they assign one to you.

When a partner carries the **Linked to Ergothiki** mark, an assignment does not stay with you alone: it arrives at their office as a **collaboration invitation**. If they accept, each office has its own copy of the same piece of work, and the two are kept in step.

### How do I send a collaboration invitation?

On a work item in your project, choose **Assign to a partner**, pick the linked partner and save. The item shows **Invitation pending** until they answer. On a project that is still an offer, the invitation goes when the offer becomes a project. The partner only sees the customer's name, unless you tick the box that lets them see the telephone number and email as well.

### What does the other office see and answer?

The other office sees the invitation at the top of its **Projects** list, in **Collaboration invitations**: who sent it, the project, the work item, the deadline and the fee (to people who can see amounts). **Accept** creates a project of their own, holding the item as an **Assignment from a partner**; a second item from the same project joins that same project. **Decline** lets them give a reason if they wish. An invitation nobody answers lapses after 30 days, and you are told.

### Who keeps what up to date?

| Detail | Changed by |
| --- | --- |
| Deadline, project title, customer and location | the office that assigned the work |
| Status, the KAEK, the work item's own fields | the office doing the work — on your copy the status reads «Kept up to date by the partner office» |
| Fee | either office, by someone who can see amounts; the other is told |

### What does «Ask to confirm» do?

If a linked office gave you work and you entered it by hand as an **Assignment from a partner**, the item has an **Ask to confirm** button. They see the service, the fee, the deadline and the project title, choose which of their projects it belongs to, and confirm or decline.

### How does a collaboration end?

If you change the item to your own work or to another partner, the collaboration ends: nothing is deleted, the other office keeps a copy of the shared files, and working together again needs a new invitation. If your project goes to the Trash, their copy becomes read-only; restoring the project brings it back to life.

### Who answers an invitation?

Invitations are seen by whoever creates projects:

| Permission | Office Owner | Office administrator | Project manager | Technical staff | Secretariat | Accounting | Website manager |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Create and edit projects and work items | ✓yes | ✓yes | ✓yes | —no | —no | —no | —no |

Accepting or declining also takes running the office — the owner, or whoever manages the members:

| Permission | Office Owner | Office administrator | Project manager | Technical staff | Secretariat | Accounting | Website manager |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Manage the team's members | ✓yes | ✓yes | —no | —no | —no | —no | —no |
