# How does the office record working time?

> Three levels, the office's unit and detail, and how the week is written in Team › Me › My time and in the project's «Time» tab.

Time recording shows how much of the team's time went to each project, so that labour cost and profit after labour show. The office chooses how far it uses it; whoever records time records it once, and sees it on the project too.

### What are the three levels?

In **Team › Team settings › Time recording** the office chooses: **Off** (no recording, no labour cost), **Estimate only** (offers estimate labour from the estimated days, nobody records time) or **Estimate + time recording** (adds **Team › Me › My time**, a «Time» tab on the project and labour cost in the financial overview).

### What does the office set?

| Setting | What it changes |
| --- | --- |
| Unit | The **day** (1 or ½) or the **hour** (half-hour steps), and how many hours make a day. It belongs to the office, not to the person; the unit first comes from the country, and a day starts at 8 hours. |
| Detail | **Per project** (one row per project) or **per work item** (one row per work item, plus «General» for coordination and meetings). |
| Non-working day multiplier | Multiplies the cost of a day that is not a working day; never the time. |
| Forgotten timer after (hours) | On a closed day, or when it started after closing: after how many hours a timer still running turns red in **Team › Me › My time**. On an open day it turns red when the office closes (Office hours) — when the office has the timer. |
| Reminders | The weekly list of days with nothing recorded. Whether leave needs approval and whether the balance carries over is set in **Team › Leave & approvals › Hours & holidays**. |

Unit and detail can change later: what was written keeps its own unit and nothing is lost. No office time is written on an item a partner does. Working days are set in **Team › Leave & approvals › Hours & holidays**.

### How is the week written?

The table has seven days. The office's non-working days (**Team › Leave & approvals › Hours & holidays**) are shown faded but are written as usual if you worked; the Friday reminder counts only the working days. An appointment or field work on a project suggests half a day (a dashed cell); it counts only when you press ✓ — or, all of the week at once, **Accept all**. Above the table, four figures: the week against the expected, its working days with nothing recorded, the suggestions waiting, and the month against the expected so far. A day older than 14 days is changed only by whoever manages the users, and the change is recorded.

### Why does the same entry show on two screens?

What you write in **Team › Me › My time** is the same cell you see in the project's «Time» tab. Each person writes their own row; someone else's row is changed only by whoever manages the users.

### Who sees what?

Days and hours are seen by whoever records time and whoever may reach the statistics; another person's table is opened by whoever may reach the statistics or manages the users — read only; values in it are changed only by whoever manages the users, with **Edit**. The table shows the open work items assigned to you and those with time this week; any other is added with **Add a work item**. Amounts — cost, labour — are seen only by whoever sees labour cost:

| Permission | Office Owner | Office administrator | Project manager | Technical staff | Secretariat | Accounting | Website manager |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Labour cost — view and enter | ✓yes | —no | —no | —no | —no | ✓yes | —no |

Profit after labour also needs the permission to see amounts, because it contains the office's agreed amounts.

It is not a digital attendance card: there is no clock-in or clock-out, only how much time went to each project.
