# How do I set up the office's service catalogue?

> Which services you switch on, which are defaults, how to add your own and how to retire one without losing anything.

The **Service catalogue** is the list you pick every work item from — in projects, offers and templates. It is under **Settings → Projects & services → Service catalogue**. You see Ergothiki's general service items and those of your country, and of course the ones you already use.

### What does «In use» mean?

Every service item has one switch. **On**: the item is in the office's catalogue, you pick it in new projects, offers and templates, and your website can show it. **Off**: Ergothiki decides by itself. If the item was never used — in no project or offer item, in no template — it is removed from your catalogue. If it was used, it is **retired**: it is no longer offered for new work or on the website, while every project that has it stays exactly as it is, with its amounts and its history. The list shows it as «Retired»; switch it on again and it comes back.

A used item is not deleted, because the items of old projects, the offers that were sent and the reports name it; deleted, they would be left without a service.

### What does Default do?

An item with **Default** goes by itself as a work item into every new project and every new offer that does not start from a template. Example: an office that does a «Inspection» in every project gives it Default, and every new project starts with an «Inspection» item, which you delete if it is not needed. Only an item in use can be a default — as many as you like; when its switch goes off, the default goes too.

### How does it show on the website?

The **one sentence for the website** (up to 100 characters) is the description your website shows for the item. A retired item does not appear there.

### What happens in project templates?

A template that lists an item counts it as used: switching it off retires it and the template keeps it. A new project from that template still adds it as an item; if you no longer want it, take it out of the template.

### How do I add service items of my own?

If you cannot find an item, write it in the form at the end of the page, with a category and a name; under **My Categories** you make categories of your own too. Your own item has the same «In use» switch, can always be renamed, and is deleted only if no project uses it. The special fields of an item (for example a permit number or a KAEK) are set by Ergothiki on its general items and filled in on the work item; your own items have no special fields.

The catalogue is changed by whoever changes the office settings:

| Permission | Office Owner | Office administrator | Project manager | Technical staff | Secretariat | Accounting | Website manager |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Change the office settings | ✓yes | ✓yes | —no | —no | —no | —no | —no |
