# How do I write notes on a project and flag one as urgent?

> Where notes are written, how to flag one as urgent, how to mention a teammate and who can change what.

Notes are always written inside a project: on the project's **Notes** tab, or in a work item's own thread. Only the office that owns the project can see them — never a partner office.

### How do I write and reply?

Type in **Write a new note…**, attach a file if you like, and press **Post**. Typing **@** mentions someone in the office, who is notified (when the office has a team). **Reply** answers a note — replies go one level deep.

### What happens to an urgent note?

**Mark as urgent** notifies the project's lead, the work item's assignee and the office's management, and puts the note in the **Urgent notes** panel on their Home page. While it stays open it is brought up again after 3 days, then every 7. **Completed** closes it and lets the author know; **Reopen** opens it again.

### Where do I find all the notes?

**Daily → Notes** lists every project that has notes, and you can open any of them in place. The **All**, **Open**, **Urgent** and **Resolved** tabs, the search and the author and date filters help you find an old conversation. A new note is written from the project itself.

### Who can do what?

| Action | Who |
| --- | --- |
| Note, reply, urgent, completed | anyone with the notes permission (table below) |
| Editing or deleting your own note | always you |
| Editing or deleting someone else's | the office's management, with the notes permission |

| Permission | Office Owner | Office administrator | Project manager | Technical staff | Secretariat | Accounting | Website manager |
| --- | --- | --- | --- | --- | --- | --- | --- |
| Create and edit notes | ✓yes | ✓yes | ✓yes | ✓yes | ✓yes | ✓yes | ✓yes |

A deleted note goes to the Trash together with its replies.
