# How does the office use artificial intelligence?

> Where AI is used, what each action sends, and how the owner switches it off for the whole office.

Most AI actions start with their own button, and whatever they make is a draft you correct before keeping it. Call minutes can also be written automatically, as soon as the transcript arrives, if you have switched that on. The table **What is sent to the AI** under **Data protection** lists each action and what it sends to the provider.

| Where | Examples |
| --- | --- |
| Website | Setting it up, a draft page or post, describing an image |
| Projects and documents | Reading a permit or a receipt, an update for the customer, an offer suggestion |
| ErgoMail | A draft reply, a translation |
| Field work and reports | Notes into a report, a report summary, the day summary in the Control Centre |

### Which rules does AI follow in Ergothiki?

- Whatever changes your records or is sent to others needs your approval; automatic minutes are saved as a draft. The exception: an image description is written straight onto the image — you can correct it whenever you like.
- AI does not invent numbers, amounts, dates or regulations; it uses only what you wrote or what is in the documents and recordings you give it — check them before you keep them.
- Every button shows how many credits it costs before you press it; automatic minutes are charged per 10 minutes of recording.
- When Ergothiki's support is signed in as your office (a support session), no AI action uses your credits: the buttons stay inactive.

### What happens when it is off?

It is switched on and off under **Settings → Office → Features** («Artificial intelligence»).

- No AI button appears on any screen.
- Not even Ergothiki's support sends your requests' messages to an AI provider (translation, summary, draft reply).
- Everything is done by hand as usual — nothing is lost.

Only the office's owner can change this setting, and the change is recorded in the office's history.
